"How far in advance do we need to book?" is one of the first questions almost every enquiry asks, and it deserves a real answer rather than a generic "as early as possible." Lead time depends on what kind of event it is, what season you want, and how much of the run of show needs to be built from scratch. Here is the honest breakdown by event type.

The general rule

That window exists because of what actually has to happen between booking and event day: menu tasting or finalisation, floor plan and layout sign-off, confirming the final guest number, and filing permits on a fixed lead-time schedule that does not compress just because a date is close.

By event type

Weddings

Four to six weeks is the absolute minimum, and that is a tight timeline even then. A wedding involves the most moving parts of anything we run, ceremony setup, catering format, entertainment booking, styling and florals, permits, transfers, so the earlier you commit, the more choice you have across every one of those lines. For a peak-season Saturday between November and March, several months out is realistic, since Saturdays in that window go first and go early. A multi-day programme, a Nikah and a reception across separate days, for example, needs even more runway, since it is closer to planning three productions than one.

Corporate events

Corporate bookings vary more by scale than by date. A smaller offsite or a client dinner can often be arranged within two to three weeks in a quieter month. A large programme, an awards night, a product launch, or anything above roughly two hundred guests needs to start months out, because the constraint is rarely the site itself, it is crew availability, entertainment bookings and permit lead times, particularly drone and filming approvals if aerial content is part of the brief. Team-building programmes with a facilitator and multiple activity stations sit in between, two to four weeks is generally workable outside peak season.

Small celebrations

Birthdays, anniversaries, proposals and small private dinners are the most flexible category. Two calendar periods deserve special mention: UAE National Day in early December sees a genuine surge in demand for heritage-themed evenings, and Ramadan and the Eid period that follows both need earlier booking than their season alone would suggest, since the format and demand shift together.
