The Tools Worth Using to Run a Desert Event

Event software is written for conference centres. Most of its assumptions, such as reliable wifi, a fixed venue address, and guests who arrive independently, do not hold fifty minutes into the desert. That does not make it useless, but it changes which parts are worth relying on.

Here is what genuinely helps, and where the tooling stops and paper starts.

Registration and RSVP

Any mainstream tool does this well and it is worth using one rather than a spreadsheet thread, mostly because of what it captures alongside the yes or no.

The fields that matter for a desert event are not the standard ones. Collect: dietary requirements and allergies, mobility needs, which pickup point each guest is using, and whether they are self-driving. That last one matters because self-driving guests need a different set of instructions and a hard warning about the soft-sand section.

Guest and dietary tracking

The single most valuable data set on the day. In a field kitchen you cannot improvise a dish, so requirements need to be known, counted and communicated to the caterer days ahead, then tracked to a seat rather than handled at the buffet.

Whatever tool you use, the output that matters is a printed list by table, held by the service lead.

Transfer manifests

This is where desert events differ most and where generic software is weakest. You need to know who is on which coach, which coach is at which staging point, and who has not boarded.

Most teams end up managing this with a shared spreadsheet plus a WhatsApp group for the drivers, which works. What matters is that a named person owns each vehicle and reports when it departs. Do not rely on guests scanning anything at a dusk transfer point.

Run sheets

A shared document that everyone works from, with times anchored to sunset rather than to abstract clock times. Google Sheets or Notion is fine; the tool matters much less than the discipline of a single version.

Print it. Multiple copies. Connectivity at Al Khatim is workable but not something you want your show-caller depending on at the moment the awards start.

Weather and ground conditions

Worth monitoring from several days out. Wind speed matters more than temperature for a desert build, because it determines whether fabric elements and any tall staging stay up. Agree the threshold and the decision-maker in advance rather than debating it on site.

Where the tooling stops

Anything requiring guests to have connectivity on site: live polling, app-based check-in, QR menus, digital tickets scanned at the entrance. Mobile signal in the deep desert is adequate for a phone call and unreliable for two hundred people hitting a server at once.

Plan for paper on: the run sheet, the dietary list, the seating plan, and the transfer manifest. If a system fails and those four exist on paper, the event still runs.

What your supplier should bring

You should not be building most of this yourself. A production company running the event should arrive with the run sheet, the floor plan, the manifests and the crew comms, and should be able to share them with you rather than asking you to assemble them.

If a supplier is asking you for a run sheet, they are a venue rather than a producer, which is fine as long as you know which you have hired.
