What a Hotel Event in Ras Al Khaimah Needs: Approvals, Rules and Suppliers

Approvals are the least glamorous part of planning and the one that most often breaks a schedule. The details vary by venue and change over time, so treat this as a map of what to ask, not a rulebook. We are not an authority, and we do not issue approvals.
Why we only work indoors
Events in open areas such as desert, mountain and beach need an event licence and land permissions that we do not hold. We therefore work only inside hotels, resorts and licensed indoor venues, where the venue holds the licences for the space.
What the venue handles
The venue is responsible for its premises licence, capacity limits, fire and life-safety approvals and alcohol licence where it serves alcohol. Ask for the venue's rules in writing.
What is left for the organiser
Outside suppliers
Many hotels require outside suppliers to be pre-approved, hold insurance and follow house rules.
Entertainment and sound
Live performers and amplified sound may need approval from the venue and, depending on the programme, the relevant authority. Book licensed performers.
Flame, fog and special effects
Candles, sparklers, pyrotechnics and haze are often restricted indoors. Ask before you design around them.
Filming and drones
Commercial filming and any drone flight need specific permission. Drones are controlled by the civil aviation authority.

How to avoid delays
- Get the venue's technical and house rules before design starts.
- Give accurate dates, headcounts and technical needs.
- Name one person who can answer questions.
- Do not announce the event publicly until approvals are in hand.
