Choosing a Product Launch Venue in the UAE

A launch is unlike other corporate events in one decisive way: the date does not move. Everything else about venue choice follows from that.

The three venue types

Convention centre or hotel

Reliable, infrastructure exists, media can arrive independently, and no weather risk. The images look like every other launch, which for some categories is fine and for others defeats the purpose.

Urban non-traditional

Warehouses, galleries, rooftops. Character without leaving the city. The constraint is that power, kitchens and rigging usually have to be brought in anyway, so you take on much of the complexity of an outdoor build without the landscape.

Desert or outdoor

Genuine exclusivity, controlled access, and imagery nobody else has. Automotive brands worked this out years ago; fragrance, watches and fashion followed. The trade-off is that everything is built and the weather is managed rather than absent.

Media logistics decide more than you think

At a remote venue, media are on your transport, which means they are on your schedule. That is an advantage if the schedule is realistic and a serious problem if it is not. Build more buffer than a city event needs.

What they need on site: a shaded filing area with power and the best connectivity available, a clear position plan so nobody is in anyone's shot, scheduled interview slots in a controlled space, and assets delivered on the day rather than promised for later. Connectivity is the recurring complaint at remote launches, solve it deliberately rather than hoping.

Getting the product there

The most common failure at desert launches. A vehicle transporter cannot cross soft sand. Options are a compacted access route built for the purpose, a transfer to off-road capability at a staging point, or a site chosen for its approach rather than its view. All three need deciding weeks ahead.

For non-vehicle products the problem inverts and becomes climate: sand and fine dust get everywhere, and heat affects adhesives, screens and batteries. Sealed transport and a clean prep tent.

Embargo and access control

A private site is genuinely easier to control than a hotel: one access route, a controlled guest list, no passing traffic and no other events in the building. For a launch under embargo that is a real argument, and it is one that rarely occurs to people comparing venues on price.

The reveal

Rehearse it at the hour it will happen, not at a convenient hour. Sun angle is the one element on the run sheet that will not accept a change request. Drapes behave unpredictably in desert wind, so anything fabric-based needs a wind plan and a tested alternative. Power runs N+1 with UPS on anything that must not blink.

Timeline

• 8-12 weeks: site survey, reveal time fixed, access route decided.
• 6 weeks: production design signed off, power and AV specified.
• 4 weeks: drone and filming approvals filed, media list confirmed.
• 2 weeks: run sheet, position plans, rehearsal schedule.
• 3-5 days: build, with rehearsal at the actual reveal hour.

FAQs

How many media can a desert site host?

We have run thirty to several hundred. Above about a hundred, transfers and the filing area become the limiting factors rather than the site.

Is summer possible?

Yes, as an evening or dawn reveal. Dawn launches are under-used and give exceptional light with manageable temperature.

What about drone footage?

Needs approval filed three to four weeks ahead. It has the longest lead time in the permit stack, so raise it early.

What is the contingency if weather turns?

Ground checks from several days out with an alternative site identified, an agreed wind threshold with a named decision-maker, and a tented plan that still delivers a usable reveal.
