Two companies can book the same venue, the same activities and the same caterer, and get completely different days. The variable is almost never budget. It is whether anyone stated what the day was actually for.

Start with the objective, not the activities

"A team building day for sixty" tells a provider nothing, so they will default to what works for most people, which produces a competent, generic day.

Compare: "sixty people across three departments who have only met on video, and the point is that they leave knowing each other." That tells us to build long shared tables rather than rounds, keep the programme light so people can actually talk, run mixed teams rather than departmental ones, and skip the loud entertainment we would otherwise suggest.

Other objectives produce completely different days. A leadership team that avoids conflict needs the trading game. A newly merged department needs mixed teams and a shared task. A sales floor after a hard quarter needs energy and a win.

Tell your provider who is actually coming

Ages, fitness, seniority mix, nationalities, whether anyone has mobility needs, and crucially whether they are long-term UAE residents or visitors.

That last one matters more than people expect. A group of Dubai residents has done the standard desert programme and will be unimpressed by camels and a buffet. A visiting European incentive group is seeing it for the first time and the classic elements land perfectly. Getting this wrong is the most common cause of a day that is technically flawless and somehow flat.

Be honest about the constraints

A CEO who hates being called on stage. A speaker who has to leave at four. A team member who does not drink. A religious observance. Someone recovering from an injury. None of these are problems in the planning call; all of them are problems at 4pm on the day.

What good facilitation actually is

A facilitator is not a host with a microphone. They frame each exercise against the objective, watch what happens inside the teams, and run the debrief that converts activity into insight. Marshals run the activities; the facilitator runs the meaning.

Ask who is facilitating, whether they have been in the planning conversations, and what the debrief structure is. If a provider cannot answer, you are buying activities rather than a programme.

Group size changes the design

  • Under 30: one activity at a time works. Everyone shares the same experience.
  • 30 to 80: two parallel streams with a rotation.
  • 80 to 300: three or four stations, timed rotations, more marshals than clients usually budget for.
